Deputy Clerk (Part-Time – Afternoon)

The Maine Township Clerk’s Office is seeking to hire a part-time Deputy Clerk. The candidate must be willing to work 19 hours per week, Monday through Friday. The pay for this position will be between $21 and $23 per hour, depending on experience.

This position requires exemplary customer service skills, the ability to perform clerical work, strong computer skills, and a willingness to complete training courses and assist with passport services.

Position Summary

This position requires exemplary customer service skills, strong clerical abilities, proficiency with basic computer programs, and the willingness to complete required training courses, including assisting with passport services.

Essential Duties & Responsibilities:

  • Accept passport applications, prepare transmittals, and print USPS shipping labels
  • Schedule passport appointments
  • Register voters (serve as Deputy Registrar)
  • Perform notary public duties
  • Accept and process RTA applications (including taking applicant photos)
  • Issue temporary handicapped parking placards
  • Sell MaineLines cab coupons
  • Sell hunting and fishing licenses
  • Sell license plate stickers
  • Sell Flood Brothers refuse and yard waste tags
  • Prepare the monthly Highway Commissioner’s report for the Cook County Superintendent of Highways
  • File documents
  • Sort and distribute mail
  • Assist with election duties (polling place information, mail absentee ballot applications, provide general election information)
  • Assist with preparation of Board distribution packets, including departmental reports and Supervisor-set agendas
  • Handle correspondence for the Clerk and Chief Deputy Clerk
  • Attend Township events as required
  • Complete special projects and other duties as assigned
  • Cross-train with Deputy Clerks I and II to ensure operational continuity

  • Must be a U.S. citizen
  • Must successfully complete Passport Acceptance Agent, Deputy Registrar, and Notary Public training and testing
  • Previous clerical experience required
  • Excellent customer service and communication skills

  • Appointment scheduling skills
  • Organizational skills
  • Ability to communicate effectively with clients and coworkers
  • Bilingual skills preferred

The selected candidate must be available to perform all duties as assigned by the Clerk and Chief Deputy Clerk. Cross-training with Deputy Clerks I and II is required to ensure full coverage of office responsibilities. Flexibility to work additional hours, when necessary, is required.

Education & Experience                                                         

  • High school diploma or equivalent required
  • Prior clerical experience required

Computer Skills                                               

  • Basic computer proficiency required
  • Working knowledge of Microsoft Excel, Word, and Outlook

Job Details

  • Part-Time position (19 hours per week)
  • Monday through Thursday, 1:00 p.m. - 5:00 p.m., and Friday, 2:00 p.m. - 5:00 p.m.

  • Salary range: $21.00 - $23.00 per hour, depending on experience
