Position Summary

The Finance Assistant is a part-time position responsible for supporting the Township’s financial operations through bookkeeping, banking, and administrative tasks. This role ensures accurate financial recordkeeping, assists with accounts payable, performs bank reconciliations, and helps prepare financial reports and FOIA responses. The ideal candidate is detail-oriented, organized, and able to manage multiple financial processes with accuracy and confidentiality.

Key Responsibilities
  • Provide administrative support to the Deputy Administrator and finance team
  • Accurately record financial transactions in accounting software and spreadsheets
  • Process vendor invoices, prepare checks, and assist with bill payment approvals
  • Serve as primary bookkeeper for the General Assistance Fund and support Town Fund and Road & Bridge accounting
  • Prepare and complete deposits for multiple funds, including tracking cash and checks
  • Maintain detailed and accurate financial records and journal entries
  • Perform daily bank reconciliations and resolve discrepancies promptly
  • Assist with preparation of financial data for payroll, IMRF, and accounts payable
  • Maintain strict confidentiality of financial and personnel information
  • Prepare responses to finance-related FOIA requests
  • Assist with payroll processing, as needed
  • Perform other duties as assigned
Qualifications
  • Bachelor’s degree in business administration, accounting, or related field preferred
  • Prior experience in bookkeeping, accounting, or finance required
  • Strong numerical, analytical, and problem-solving skills
  • Excellent organizational skills with the ability to prioritize and meet deadlines
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and professionalism
Technical Skills
  • Experience with accounting software required (Sage or similar preferred)
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
